Service Assistant

Primary Objective of Position:

The Service Assistant provides administrative support to the Engineered Services Department, which services large industrial motors and generators for our customers worldwide. The Service Assistant is primarily required to handle the administrative function that impact the financial aspects of the field service area, which supports internal and external customers, as well as partners, to maintain good financial outcomes for the company.

 Responsibilities Include:

  •  Resolve service and invoicing inquiries effectively, and promote strong customer relationships with internal and external customers.
  •  Create cost breakdowns for service jobs.
  •  Monitor open field service jobs and initiate the invoicing process by creating sales orders in SAP
  •  Audit and confirm external service providersí time sheets and third-party cost breakdowns.
  • Create purchase requisitions for external service providers and submit them for approval after cost breakdowns have been audited
  •  Use data analytics to monitor service quoting and invoicing activities, providing feedback and suggestions for improvement to management.
  •  Resolve invoice disputes with customers and/or finance as needed.

Qualifications:

  •  BS Degree in Marketing, Business, Industrial technology or related field, or 2+ years of general customer service/sales/invoicing experience.
  •  Demonstrated sense of urgency to affect timely response and resolution to customer requests.
  •  Demonstrated oral and written communication skills and proven ability to effectively deal with difficult customers.
  •  Demonstrated ability to keep multiple tasks and activities coordinated, prioritized, documented, and in motion or progress at one time.
  •  Demonstrated capability for social interface with internal and external customers as required, achieving customer satisfaction excellence.
  •  Computer literate with knowledge of current operating systems and software common to business applications including; SAP, Outlook, Word, Excel, PowerPoint.
  •  SAP Proficiency highly preferred.
    •  Physical ability to travel freely within manufacturing and office facilities.
    •  This requires climbing stairs and moving over, around, and about shop machinery and in-process apparatus in a safe manner.

    •  Physical ability to climb a ladder and safely maneuver archived engineering files.
    •  Physical ability to lift and carry 25 pounds.
