Accounts Payable Specialist

Department: Finance
Location: Duluth, GA

About The Role

The Accounts Payable (AP) Specialist is responsible for accurately processing vendor invoices and ensuring timely payment of invoices in accordance with company policies within a Shared Services Center environment. As part of a small team, this role collaborates closely with teammates to manage the shared AP email inbox, ensuring equitable workload distribution and prompt response to all inquiries. The specialist utilizes the WEG Business Services (WBS) platform for ticketing and workflow management, ensuring efficient handling of invoice-related inquiries and requests from internal and external stakeholders.

Primary Responsibilities

  • Monitor and share responsibility with other AP team members for a shared AP email inbox coverage, workload balancing and issue escalation by processing incoming invoices, statements, and inquiries
  • Process vendor invoices in accordance with company policies and payment terms
  • Access vendor websites and download invoices for payment processing, where applicable
  • Ensure the timely payment of all equipment and auto lease agreements
  • Ensure receipt of all equipment and auto lease invoices
  • Monitor and manage AP-related requests through WEG Business Service (WBS) to ensure that tickets are resolved as soon as practicable
  • Work with internal business units and procurement teams to resolve discrepancies related to purchase orders, receipts, and invoice matching
  • Perform vendor statement reconciliations to ensure account accuracy
  • Validate invoices for accuracy, proper coding, and authorization before entry into the ERP system (e.g., SAP, Oracle, etc.)
  • Review weekly payment runs (Manual, Checks, ACH, and Wire Transfers) to ensure timely disbursements
  • Maintain vendor master data as required, in compliance with internal controls
  • Identify and escalate potential risks, control issues, or process inefficiencies
  • Contribute to continuous improvement initiatives within the AP function and WBS
  • Support audits and provide requested documentation to internal/external auditors
  • Support month-end closing activities including accruals, reporting, and reconciliations

Experience

  • 2-4 years of AP experience in a centralized/shared services environment
  • Experience with ServiceNow workflow platform
  • Experience with SAP
  • Effective written and verbal communication to convey information in a clear, concise, and logical manner
  • Strong attention to detail and accuracy
  • Process consistency
  • Ability to work independently and thrive in a collaborative team environment
  • High level of integrity and confidentiality
  • Ability to multi-task, use independent judgment and sound decision-making skills

Knowledge/ training (preferred):

  • Good understanding of procure-to-pay (P2P) processes and internal controls
  • Familiar with full-cycle Accounts Payable process
  • Proficient with MS Excel and other MS Office applications
  • An understanding of basic bookkeeping and accounting skills is required

Education

  • Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred
  • High school diploma or GED
