Project Coordinator

Department: Project Management - Energy (LV)
Location: Duluth, GA

About the Role

The Project Coordinator supports the execution of customer orders and entry-level projects for an industrial manufacturer of motors and drives. This role serves as a key coordination point between customers, Sales, Application Engineering, Project Management, manufacturing facilities, and other stakeholders to ensure technical and commercial requirements, documentation, schedules, and deliverables are completed accurately and on time. The ideal candidate is highly organized, customer-focused, and enjoys managing multiple priorities in a fast-paced environment.

Primary Responsibilities

  • Coordinate customer orders and entry-level projects from order handoff through completion using established processes, schedules, and project requirements.
  • Serve as a day-to-day coordination point among customers, Sales, Application Engineering, Project Management, manufacturing facilities, and other stakeholders.
  • Provide customers and stakeholders with accurate technical, commercial, order status, and project documentation within established guidelines.
  • Review customer purchase orders and related documentation for completeness; identify discrepancies and coordinate resolution with the appropriate resource.
  • Maintain project and order information in applicable ERP, CRM, and project tracking systems.
  • Track order and project milestones, documentation requirements, approvals, manufacturing dates, shipment dates, and other deliverables; communicate status and escalate risks or delays as needed.
  • Coordinate technical document submissions, approvals, and customer documentation requirements with Engineering, manufacturing facilities, Sales, and Project Management.
  • Support order changes, schedule updates, shipping coordination, and other project administration activities in accordance with established procedures.
  • Prepare customer communications, project status reports, meeting notes, action-item logs, and other project documentation.
  • Respond to customer and internal inquiries, research issues, and route technical, commercial, contractual, or schedule matters to the appropriate resource as needed.
  • Support customer satisfaction through timely communication, accurate records, and consistent follow-through on assigned actions.
  • Participate in project handoff, status, and coordination meetings as assigned.
  • Follow applicable quality, safety, compliance, records management, and company procedures.
  • Perform other duties and responsibilities as assigned.

Education

  • High School Diploma or GED; Required
  • Associate's or Bachelor's degree in Business, Engineering Technology, Supply Chain, Project Management, or a related field; Preferred

Experience & Knowledge

  • 0-1 year of experience in project coordination, sales support, order management, customer service, manufacturing, or a related environment
  • Basic understanding of project coordination, order management, and customer service principles
  • Proficiency with Microsoft Office applications, including Excel, Outlook, Word, and Teams
  • Ability to learn ERP, CRM, order management, and project tracking systems
  • Basic ability to read, organize, and manage technical and commercial information related to industrial products and customer orders
  • Strong attention to detail, organizational skills, and follow-through
  • Excellent written and verbal communication skills
  • Strong analytical and problem-solving abilities
  • Ability to prioritize multiple assignments, follow established procedures, and escalate issues appropriately
  • Ability to work effectively across Sales, Engineering, Project Management, Manufacturing, and customer-facing teams in a deadline-driven environment

Travel Requirements

  • Occasional travel based on business needs. Travel may include visits to company facilities, customer sites, or project locations.
